HIPAA Best Practices

HIPAA Compliant Secure Messaging

HIPAA Compliance: Mitigate IT Risk Article Courtesy of:  Onramp It is becoming the norm for businesses to outsource all or a portion of their IT needs to third-party cloud service providers (CSPs) or hosting providers in order to increase agility and cut down on costs. As such, it should come as no surprise that this trend is becoming increasingly popular in the healthcare industry. However, doing so for healthcare organizations does not come without its challenges – the root of which lies in maintaining HIPAA compliance, from their own company to the ones they choose to partner with. With that comes a need to protect the privacy and security of electronic protected health information (ePHI) and, in order for IT teams do so, this means mitigating risk should continually be top-of-mind. How Teamwork, Trust & Improved Communication Reduce Mistakes in the Emergency Room

Emergency Room

Better ER Communication Article Excerpt Courtesy of: Fierce Healthcare & Ilene MacDonald It’s so easy to think you’ve communicated a message clearly. After all, you understand the instructions, so it only stands to reason that the person receiving them must also understand what you meant. And though most misunderstandings can be cleared up quickly in everyday situations, studies show that they pose a significant danger for patients when signals get crossed. In fact, an estimated 80 percent of the most serious medical errors in hospitals are linked to miscommunications. The collection of patient-reported data at a health system is often highly fragmented and a burden to patients, staff and physicians alike. It can lead to inaccurate data, low completion rates, missed diagnoses, and high cost. This exciting webinar will discuss how to improve and optimize patient data collection to dramatically increase patient engagement. To combat miscommunication in the emergency room, one […] Read more »

Pager Service Disruption Worries Quebec’s Rural Communities

Emergency responder woman

Telus announced that it is canceling its pager service across Canada, effective March 31, 2015. This is cause for worry amongst some residents of Quebec’s rural communities according to CBC News. Several anglophone coastline villages near Labrador, on Quebec’s Lower North Shore, do not have cellphone service. They rely on pagers to reach health-care workers and emergency responders. Without a pager system, according to Rowsell Roberts, volunteer firefighters and health-care workers would have to wait by the phone at home. Another group recommend using two-way radios — a 1950’s technology attempting to cure 21st century urgent messaging needs. Pagers Are Obsolete Fewer and fewer people are using pagers – the devices you hold in your hand – as time goes on. The number of pagers in use has been plummeting each year since their height in the mid-1990s. Nonetheless, as of 2013, about 161,500 Canadians still had paging service subscriptions, according […] Read more »

With applications ranging from consumer to consumer, business to business, and government to industries. The abbreviation for it looks like this — IoT.So, what type of devices and applications are we referring to here? Well, hi-tech ones that you might find in a health care setting such as a heart monitoring implant, internet-linked billboards, waste management systems to monitor those who exceed waste limits, smart water systems and meters, wearable devices such as wristwatches that not only monitor time and manage texts and emails, but they also monitor the blood sugar in a person’s system. Privacy & Security Breaches

newfollowaudit

In the healthcare industry, a patient’s privacy and security are held to the highest standard. Healthcare professionals and organizations must adhere to many rules & guidelines including the HIPAA Security Role, HITECH act and the Joint Commission.  Breaching these deep regulations can result in expensive fines and lack of patient confidentiality. Nevertheless, these breaches do occur more frequently than to be expected. One way these occur is due to nosy employees. In October of this year, Allina Health system in Minnesota notified more than 3,800 patients that one of its medical assistants had accessed their PHI improperly for more than three years. In this time frame she had accessed, patient’s names, DOB’s, clinical data, health insurance information and partial Social Security Numbers. They were able to seek out who was responsible for these breaches by following the audit trail of that patient’s record. Another way in which privacy & security breaches occur is due […] Read more »

Hard to believe, we are already two years in the market!! The OnPage pager application for Android, iPhone and Blackberry was the FIRST in the market to offer hosted Paging service on Smartphones.  Not the traditional paging service capabilities on Android, iPhone and Blackberry but smart paging that ensures efficiency, accountability and reliability. For most individuals, Paging is an 80’s term. Most will say “I used to carry a pager 20 year ago…” or “Who still needs a Pager these days?” But the answer is simple: Paging is a term used to describe urgency, priority messaging which we all still need, and thus it should not be associated with the actual pager device of yesteryear.  Today’s paging allows you to be informed as to the message status, allows you to reply to a page and even initiate a page to another OnPage user, all at your fingertips on your smartphone. Thoughts From The CEO: Efficiency, Accountability & Reliability

This past weekend I attended the Fraunhofer awards ceremony for the prestigious 2013 Joseph von Fraunhofer Prize for Science and Innovation in Hannover, Germany. The Prizes were given to four technology groups from different institutes around the world, working in different fields but with the same theme: developing new technologies that enhance Efficiency. As a spectator listening to the different group presentations (with a translator), it became very clear to me that indeed Efficiency is the word of the future! Efficiency is the goal! I recalled a conversation I had the prior week with the CIO of a large healthcare plan in Boston to whom I introduced our OnPage solution for Pager replacement on Smartphones. He said that based on their budget for 2014, they may need to cut some people, but still carry the same load.  Essentially be more efficient! Being efficient is facilitated by the use of new […] Read more »

Physician Shortage Leads to Longer Wait Time for Patients

shortage of drs

If you had the chance to read OnPage’s previous post “Doctors speak up for Digital Communications” then you understand how overworked doctors are feeling with paperwork, patient visits, and follow ups. Well recently it has also been announced that there is a growing shortage of physicians in some specialties which could result in even longer wait times and delays in receiving medical care. A major reason our doctors are outnumbered by patients is because of the increasing age of the baby boomers. With the baby boomers starting to enter into retirement the demand for specialty physicians that typically treat elders is increasing rapidly and there simply is not enough time for physicians to see all of their patients. One area that is really feeling the loss of physicians is cardiology. According to the American Heart Association, as of 2009, there was a shortage of about 1,700 general cardiologists in the […] Read more »

Why SMS is NOT Suitable For Doctors

SMS

Text messaging over the last decade has become a mainstream form of communication, but does that mean that it is appropriate to be used among doctors? The critical messages sent among doctors are different than communications in any other industry. They often contain private and time sensitive information regarding patients; therefore, doctors are required to be in accordance with HIPAA (the Health Insurance Portability and Accountability Act). Text messaging is NOT HIPAA compliant and therefore texting and doctors simply do not mix. Failure to comply with HIPAA could result in fines of up to $250,000 or ten years in jail. OnPage provides a simple priority messaging solution that fully complies with HIPAA standards to ensure your messages are encrypted, immediate, and auditable. Why SMS does NOT Adhere to Patient Safety:  1.Text messaging is NOT encrypted 2.Text messaging cannot show full audit trails of when the messages are received and read 3.Text messaging cannot ensure priority delivery; a message about a […] Read more »

OnPage Provides Secure, Rapid Response at New England’s Largest Catholic Hospital

St. Francis Hospital and Medical Center uses OnPage app to replace pager system with HIPAA-compliant emergency communication systems Waltham, MA (PRWEB) July 03, 2012 One of the most important pieces of medical technology in any hospital today isn’t the heart-lung machine, the respirator, or the X-ray machine. Believe it or not, it’s the pager, a technology that first caught on in the 1980s. Even in the 21st century, it’s still relied on by hospital staff to summon doctors in both emergency and nonemergency situations. But at Saint Francis Hospital and Medical Center, the largest Catholic hospital in New England, the cost of using this dated technology became prohibitive. To improve communications, accountability, and reliability the Hospital is aggressively replacing its traditional pagers with Onset Technology’s mobile app, OnPage. OnPage converts any iPhone, BlackBerry, or Android device into a secure assured communications system. “With OnPage, our hospital and its call center […] Read more »

Text Messaging for Physicians Deemed “Unacceptable” by JCAHO

Text Messaging is not HIPAA Compliant

Since the early 2000s, text messaging has been a mainstream communication.  Primarily used for its ease of convenience and efficiency, text messaging has branched out from being a personal form of communication to an enterprise wide form of communication.  Lately for businesses, the use of text messaging has come under scrutiny due to policies and regulations that it does not adhere to. The healthcare industry is currently aware of this scrutiny as it has been brought up by JCAHO (Joint Commission on Accreditation of Healthcare Organizations.) JCAHO recently weighed in on the issue of physician and licensed independent practitioners using text messages to transmit orders for patients, hospitals or any other healthcare setting.  JCAHO stated that the use of text messaging in healthcare environments is unacceptable due to its violations of the HIPAA Security and Privacy regulations that every healthcare professional is expected to adhere to. These strict HIPAA guidelines include […] Read more »

Leading Call Center Chooses OnPage for HIPAA-Compliant Messaging

Total Connections now uses OnPage to help its clients comply with federal security guidelines for healthcare, EMT, and law enforcement clients Waltham, MA (PRWEB) May 08, 2012 Many healthcare, EMT, and law enforcement organizations are violating federal privacy laws without even knowing it. The reason: They’re sending emergency text messages using insecure communications technology, such as SMS and email. The consequence: Every violation of privacy laws, such as HIPAA, can result in significant fines. That’s why Total Connections, Framingham, Mass., a leading call center and medical answering service serving the healthcare, EMT, and law enforcement industries, chose OnPage for secure assured messaging to meet security requirements. That, plus significant cost savings. “OnPage gives us the reliability, security, and intensity of a traditional pager, without the high infrastructure, hardware acquisition, monthly services costs, or need to carry another device,” says Bill Campbell, President and Founder. “But most importantly, messages sent with OnPage are […] Read more »

Local Hospitals & Public Safety Feeling the Squeeze of FCC Narrow Banding Mandate

http://www.dreamstime.com/-image15995407

On January 1, 2013, all paging equipment (including pagers, transmitters etc) must move to a 12.5 KHz narrowband channel or to a technology that achieves equivalent efficiency.   Talk is Cheap The FCC has been talking about Narrow Banding for quite a while, since 1995 in fact, when the first narrow banding rules were adopted.  In 2004 the FCC announced the deadline of January 1, 2013 as the drop dead date for all Public Safety and Industrial/Business licensees to move their communications from the 25 kHz (wideband) radio frequency to the 12.5 kHz (narrowband) channel bandwidth or a technology that achieves equivalent efficiency. With the January 1, 2013 deadline fast approaching many organizations are in a tail spin over finding funds and/or new technology to comply with the Mandate, especially those who chose to delay system updates.  Public Safety, businesses, and hospitals are especially feeling the pressure. Many are scrambling […] Read more »

Why is Pager Coverage Vanishing in the State of Illinois?

dreamstime_xs_5358033-3

It’s a small pager world and it keeps getting smaller. Recently, the Illinois Department of Central Management Services BCCS (Bureau of Communication and Computer Services) in their Telecommunications Bulletin, announced the decommissioning of telecommunication towers which provided pager services for six of their local cities and towns.  The Bulletin also reported that another four cities may also be out of service in coming months. This news follows two previous pager service discontinuation bulletins in August Bulletin and October Bulletin of last year for yet two other Illinois cities. The trend is serious news for the state, which anticipates the decommissioning trend to continue. So what is causing the paging service providers to terminate such critical messaging coverage to area cities?  The answer may just come down to dollars and cents. It’s no secret that the traditional paging industry is currently facing some serious challenges. The original telephone based pager […] Read more »

Pitch Your Pager Device for a Smartphone

Pitch Your Pager

Do you still use a pager? If you answered yes, you’re not alone.  Many hospital, healthcare and emergency response workers still own and use pagers as part of their daily operations. Pagers widespread but falling out of favor Hospitals routinely use pagers to alert physicians, respiratory therapists, and other important staff regarding when and where they’re needed in the hospital. Firefighters too, especially volunteer staff, regularly employ pagers to receive priority messages so they can respond to calls in their local communities. Although still widespread, not every one is happy about still having to use pagers. Many users often cite serious concerns such as limited functionality, poor coverage, aging infrastructure and a dwindling number of options when it comes to pager service providers.  They feel trapped into using obsolete pager technology when their own personal devices offer far superior service. Smartphones begin replacing pagers The need for priority messaging […] Read more »

OnPage™ Adds Redundancy and Reliability to Our Own Private Cloud

Cloud Computing

We’ve been hearing a lot about ‘the cloud’ lately. Maybe you have too. It’s a new way of harnessing the power and scalability of large computing resources and it is becoming a more integrated and efficient way of ensuring highly dependable, redundant, and secure software as a service (SAAS) performance. Steve Jobs at Apple’s recent WWDC2011 talked a lot about his cloud; how it will make everyone’s life easier because “it just works”.  As an SAAS smartphone priority messaging and pager application, we agree. We’re all about ‘making it work’ for our customers. That’s why having a private, secure cloud architecture has been part of our plan from the start. The exciting news is that the scheduled completion of our private, secure, and redundant cloud computing infrastructure is finally here.  On June 19th and again on 29th, our technical team was busy upgrading, testing, and enhancing our software, […] Read more »
